Cancellation and Rescheduling

A. Cancellation of a session by the user

  1. Cancelling a Session: If you wish to cancel your session, please WhatsApp us at +91- 79916 44515 and notify the treating therapist no later than 90 minutes before the scheduled time. It is highly recommended that you inform us at least 12 hours before. If you cancel more than 90 minutes before the session, you may reschedule it with your therapist by finding a mutually agreeable time.
  2. Cancellation policy for packages: At Kikstart Rehabilitation, we understand that sometimes circumstances change, and you may need to cancel your therapy package. Here is our policy regarding the cancellation of packages:

2.1 Cancellation Process

2.1.1 Requesting a Cancellation: To cancel your package, please send a written request to contact@kikstartrehab.com or WhatsApp at +91-7991644515. Please include your reason for cancellation and any relevant details.

2.1.2 Refund Calculation: The refund for a cancelled package will be calculated based on the number of unused sessions remaining. Each used session will be charged at the single session rate, and the balance will be refunded.

2.1.3 Processing Time: Refund requests are processed within seven business days of being received. If there is any delay, please notify us at contact@kikstart.rehab

2.2  Conditions for Cancellation

2.2.1 Advance Notice: To receive a refund, you must request the cancellation at least 24 hours before the next scheduled session in the package.

2.2.2 Partial Refunds: If you have used some sessions in the package, a partial refund will be issued for the unused sessions.

2.2.4 Banking Transaction Charges: Depending on the payment gateway, a processing fee may be deducted to cover banking transaction charges. Kikstart is not responsible for these charges.

3. Impact on Therapist and Schedule

    3.1 Therapist Availability: Please note that cancelling a package may impact your ability to secure the same therapist or timeslot if you choose to restart your therapy services in the future.

3.2 Vacation or Extended Absence: You may pause your package for up to two weeks due to vacation or other circumstances. For absences longer than two weeks, we recommend cancelling the package and rebooking upon your return, though we cannot guarantee the same therapist or timeslot will be available.

3.3 Exceptions: In cases of medical or personal emergencies, we will consider exceptions to our standard cancellation policy on a case-by-case basis. Please contact us as soon as possible to discuss your situation.

B. No-Show Policy:

At Kikstart Rehabilitation, we respect everyone’s time and strive to provide the best possible experience. Our no-show policy ensures that clients and therapists can manage their schedules effectively.

  1. No-Show Definition: A session is considered a no-show if you do not join the scheduled session or inform us of a delay within 15 minutes of the scheduled start time.
  2. Charges for No-Show: If you fail to attend the session without prior notice within the specified time frame, you will be charged 100% of the session fee. No refunds will be given for no-show sessions.
  3. Impact on Future Sessions: Repeated no-shows may affect your ability to book future sessions and could result in the suspension of your account.
  4. Notification: To avoid being charged for a no-show, please WhatsApp us at +91-79916 44515 at least 90 minutes before your session if you need to cancel or reschedule.
  5. Consideration for Emergencies: We understand that emergencies can occur. If you have a genuine last-minute emergency that prevents you from attending the session, please contact us as soon as possible. We will review the situation and may consider rescheduling the session after consulting with your therapist.

C. Cancellation by Kikstart Rehabilitation

  1. Cancellation by Therapist: If our therapist cancels a session 90 minutes before the scheduled time, we will reschedule it at your convenience. If the therapist cancels within 60 minutes due to an emergency, you will get an extra 10 minutes in the next session. If the therapist does not show up within 10 minutes of the scheduled time, no service fees will be charged, and you will receive a complimentary full session within the next two weeks.

D. Rescheduling

  1. Advance Rescheduling: You may request to reschedule a session up to 90 minutes before the start time without penalty. Requests received later than this will incur a cancellation penalty of 50% of the service fee.
  2. Emergency Rescheduling: In case of a last-minute emergency, we will consider rescheduling after consulting with your therapist.
  3. No-Show Policy: If you do not join or inform us of a delay within 15 minutes of the scheduled session, it will be considered a no-show, and 100% of the service fee will be charged.

E. Payment

  1. Payment Terms: Payments must be made at least two hours before the session. They are valid for two months from the payment date and can be made via various mechanisms, including card payments, online bank transfers, and wallet payments. Users are responsible for timely payments and applicable taxes. Our Sessions are charged through the packages. You can review and choose the suitable plan for you.
  2. Third-Party Providers: Payment gateway mechanisms are governed by third-party providers’ terms and conditions, which users agree to when using the platform.

F. Refund

  1. Refund Requests: To request a refund, please email us at contact@kikstart.rehab or +91-79916 44515. A processing fee for banking transaction charges may apply.
  2. Processing Time: We aim to process refund requests within 24 hours of receiving them. In case of delays, please notify us at contact@kikstart.rehab.
  3. Fee Changes: We reserve the right to change fees at any time, and any updates will be effective immediately upon posting/notifying on the platform.
